Inventory Coordinator – Used Vehicles
Wilson Niblett Motors Ltd is seeking a Inventory Coordinator – Used Vehicles to join our team of customer focused professionals within our high volume and process-driven dealership.
Position Summary:
The Inventory Coordinator is responsible for managing the intake, documentation, and tracking of all used vehicle inventory at the dealership. This includes stocking in used vehicles, building and maintaining vehicle files, registering vehicles in internal systems. This role is essential in ensuring that the dealership’s used vehicle inventory is accurate, compliant, and up-to-date for sales, reporting, and audit purposes.
Key Responsibilities:
Stock-In Used Vehicles:
Accurately enter used vehicle acquisitions into the dealership’s inventory system.
Verify all necessary documentation (titles, purchase agreements, inspection reports, etc.) is complete and correct.
Assign stock numbers and prepare inventory tags/stickers.
Build Used Vehicle Files:
Create and maintain inventory files for each used vehicle.
Ensure all required documents (title, bill of sale, reconditioning records) are collected and properly filed.
Update vehicle files as necessary throughout the reconditioning and sales process.
Garage Registry Management:
Add all used vehicles to the dealership’s internal garage registry and update entries as needed.
Monitor vehicle location and status for internal tracking and customer availability.
Maintain Gross Log:
Track and record the gross profit on each used vehicle sold.
Update the gross log consistently and work with the sales departments to ensure accuracy.
Maintain Used Car Inventory List:
Keep an up-to-date inventory list of all available used vehicles.
Skills & Qualifications:
Previous experience in automotive inventory or dealership operations preferred.
Strong organizational skills with attention to detail.
Ability to handle multiple tasks and prioritize efficiently.
Proficiency with dealership management systems (DMS) such as CDK
Familiarity with vehicle titles and DMV paperwork is an advantage.
Strong communication skills and a collaborative mindset.
